Silvianne

Privacy policy

Last updated November 6, 2026

Silvianne is a CRM that runs on your Gmail and Google Calendar. It reads your mail and meetings so it can sort your inbox and keep your contacts, companies and deals up to date. This policy explains what we collect, what we do with it, who else handles it, and the choices you have.

Silvianne is operated by Sally Chen, in Vancouver, British Columbia, Canada (“we”, “us”). Questions or requests: [email protected].

What we collect

Your account

When you sign in with Google: your name, email address, profile photo and Google account ID. Your browser's time zone, so dates are in your time.

Google data, with your permission

When you connect a Gmail account, Google asks you to allow these once, on one screen. You can untick any of them there. We only use them for the features described here.

  • Gmail (read, organize and send mail): each email's sender, recipients, subject, date, labels and read state; the text of recent and new emails; the names, types and sizes of attachments, and the text of some attachments (PDF, Word and text files) when they are read to fill in a deal. For older mail we keep the headers only (who wrote to whom, and when), so your contact history is complete.
  • Gmail settings: your “Send mail as” addresses, your signatures (when you import them) and your vacation reply (when you change it in Silvianne).
  • Google Calendar: your events from a year back to three months ahead, with their guests, so meetings count toward your contacts and deals. Events you create, edit, answer or book through Silvianne are written to your calendar. The list of your calendars, so the ones you own count when Silvianne checks whether a time someone offers works.
  • Google Docs (read only): the meeting notes Google Meet attaches to your meetings, to fill in the deal the meeting was about.
  • Google Meet: the settings of Meet calls you create. Silvianne turns on Gemini notes (“Take notes with Gemini”) for them when your Google account includes it. You can turn this off in Settings › Calendar, or for one meeting when you create it. Recording and transcripts are only turned on when you choose them.

People you work with

Your mail and calendar include other people: their names, email addresses and companies. Silvianne builds your contacts, companies and deals from them, for you. For meeting guests it may look up, on the public web, a one-line description of who they are.

What you create

Labels, rules, relationships, deals, notes, templates, signatures, scheduled emails, meeting templates and booking links.

If you're in a team

  • What the team shares: your team shares one set of contacts, companies, deals, tags and pipelines. Anything you add to them belongs to the team, and stays with the team if you leave.
  • What teammates read of your work email:
    • Your work emails with prospects and customers, and with anyone on a deal your teammates can see, so a deal's whole story is in one place. Investors only for the people on your Fundraising board, and candidates only for the people on that role.
    • For everyone else, just who and when: teammates see that you're in touch with someone, never what you wrote.
    • Never: your email with HR and teammates, codes and password resets, your direct emails with anyone you tag Private, and any conversation you keep private. A group email is shared when someone else on it is a customer, or on a deal your team sees. Each email shows who sees it.
    • Your LinkedIn and WhatsApp chats go to the account they belong to. When we aren't sure which, we ask you, and only you see the chat until you answer. In that account, teammates see a chat by the same rules as email, and read it in full. Nobody else ever sees a chat you keep private or put in Personal.
  • When you leave, the team keeps the contacts, companies and deals, and the history of your work with them, as far as teammates could already see it. Your Personal and kept-private LinkedIn and WhatsApp chats leave with you.
  • Your company inbox stays with the company: an inbox on your team's company email ([email protected]) is the company's. When you leave, or are removed, it stays with the team with all its mail, including emails you kept private, and the company decides what happens to it. Your other inboxes leave with you.
  • What stays private to you: your other accounts, your personal email and your calendar are never shared with the team.

If you add LinkedIn or WhatsApp

  • What we keep: we keep copies of your work conversations: who wrote, when, and what they wrote. That way they show next to your email with the same people.
    • No pictures: we don't copy profile pictures.
    • No photos or files: for photos and files, we keep only a note that one was sent.
  • On WhatsApp:
    • We ask which account each new number belongs to, or whether it's personal. Until you answer, only you see the chat, and the AI never reads it.
    • Personal chats are deleted, and never kept or read again. We keep only a scrambled form of the number, so it's never brought in again.
    • Group chats aren't kept.
  • Sorted the way your email is: the AI reads the text of your work conversations to put them in your labels, say which need you, read a time someone suggests, and keep your contacts and deals up to date, as it does with your email (the AI providers below).
  • We never send anything on its own. A LinkedIn or WhatsApp message goes out only when you write it and press Send.
  • Switching off or disconnecting: if you switch LinkedIn or WhatsApp off, or disconnect it, we stop reading it straight away.
    • Kept hidden for 3 months: what we kept is hidden for 3 months, so reconnecting loses nothing, then deleted.
    • Or deleted now: “Delete now” deletes it straight away.
    • Your deals keep the details: details you filled into your deals from them stay.

When someone books a time with you

The name and email address they enter, and the time they pick. The booking page shows them your name and the times you offered.

If they choose “See when I'm free”, Google tells Silvianne only when they're busy or free in their Google Calendar, never what their events are. Their busy times stay in their own browser for 30 minutes and aren't saved, and you don't see them. Silvianne uses Google's permission once and keeps nothing; it expires within an hour.

If you ask for early access

If you ask for early access, we keep your email to tell you about Silvianne, with whose link brought you and whether you booked a time or checked your calendar there.

How the app is used

The days you use Silvianne; what the AI was asked to do, what it answered and what it cost (kept 180 days); and error logs, which hold IDs and error messages but never email content or addresses. If you came to Silvianne through someone's “Powered by Silvianne.ai” link, we record who referred you.

Payments

  • Stripe handles card details. Stripe takes your card details and billing address; we never see your full card number.
  • What we keep: your plan, when it renews, and your invoices.
  • One free trial per person: to give each person one free trial, we keep a scrambled form of every email address on your account. This is kept even after you delete your data, so a new sign-up with the same address doesn't get a second trial.

How we use it

  • To sort your inbox into your labels and rank what needs you.
  • To keep your contacts, companies and deals up to date, and suggest changes for you to accept or dismiss.
  • To prepare briefs before meetings.
  • To send, schedule, draft and organize mail, and to create and answer calendar events, when you ask it to.
  • To keep the service secure, limit AI spending, and fix problems.

The AI suggests and you decide. Silvianne never sends, archives or deletes mail on its own, and your changes always win over the AI's. We don't sell your data or use it for advertising.

Google API data: Limited Use

Silvianne's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • We use Google user data only to provide and improve the Silvianne features you use, described above.
  • We transfer it to others only as needed to provide those features (the providers listed below), to comply with the law, or as part of a merger or sale of Silvianne, with notice to you.
  • We never use it for advertising, and never sell it.
  • No person reads it unless you ask us to (for support), it's needed for security or to comply with the law, or it has been aggregated and anonymized for running the service.
  • We don't use it to develop, improve or train generalized AI or machine-learning models.
  • We never use it, or Google APIs, to create or edit images, including AI-generated non-consensual intimate imagery (NCII).

Who else handles your data

We use these providers to run Silvianne, and share with each only what its part needs:

  • Google: Gmail, Calendar, Docs and Meet, at your request.
  • DigitalOcean: hosts the app and its database, in the United States (San Francisco).
  • OpenRouter and TypeSafe AI: the AI that sorts email and your LinkedIn and WhatsApp work conversations and makes choices (labels, priorities, relationships, deal stages). It receives the text of the emails and messages it's asked about.
  • OpenAI: the AI that writes words (meeting briefs, deal drafts, who a guest is). It receives the mail, messages and meeting details the text is about, and may search the public web for a guest.
  • Unipile: connects your LinkedIn or WhatsApp account, when you add them, and passes your conversations to Silvianne. It holds your LinkedIn or WhatsApp sign-in while you're connected, and lets go of it when you disconnect.
  • Stripe: takes payments, in the United States. It receives your name, email, billing address and card details.
  • Resend: sends Silvianne's own emails to you (trial reminders, receipts, and notices about your data). It receives your email address and the text of those emails.

Our AI providers process this data to answer our requests and are not allowed to use it to train their models.

We may also disclose information if the law requires it, or to protect the safety and rights of our users or others.

How we keep it safe

Data travels over encrypted connections and is stored encrypted by our hosting provider. Your Google connection tokens are encrypted again by us. Our database accepts connections only from the Silvianne app.

How long we keep it

  • Your data is kept while your account exists.
  • Disconnecting a Gmail account stops all syncing and AI for it, but keeps its contacts, companies, deals and history in case you connect it again, until you ask us to delete them.
  • The log of AI requests is kept 180 days, meeting summaries 60 days, and deleted deals 30 days.
  • Database backups are kept for up to 7 days.

Your choices

  • Disconnect any Gmail account in Settings, or remove Silvianne's access in your Google account permissions.
  • Ask to see, correct, export or delete your data by writing to [email protected]. We'll do it within 30 days. Deleting your account removes your data and that of every Gmail account you connected. In a team, the team keeps its contacts, companies and deals, and your company inbox (one on your team's company email) stays with the company, with all its mail.
  • If you're not satisfied with how we handled a privacy concern, you can contact the Office of the Privacy Commissioner of Canada.

Cookies

We use a cookie to keep you signed in, and one that remembers, for 90 days, whose referral link brought you here. On a booking page, checking your calendar leaves a cookie with your busy times for 30 minutes. Your browser also remembers small display preferences (like which account a page shows). We don't use advertising or tracking cookies.

Children

Silvianne is a work tool and isn't meant for anyone under 16.

Changes

If we change this policy, we'll update the date above, and tell you in the app or by email before a significant change takes effect. See also our terms of service.
